The Kitchen Circle Program Details

Enrollment and Program Access

  • Enrollment is limited to U.S. K-12 school district operators that are buying qualifying The Kitchen Circle products. Purchasing cooperatives, contract management accounts or individual school districts may not redeem at the headquarter level. Individual school districts may participate, but cannot combine or pool purchases for claims.
  • Only enrolled participants are eligible to earn points in the program. Membership is non-transferable.
  • Participants must log into the site within one hundred twenty (120) days from emailed receipt of their user name and password to activate their account.
  • Participants may cancel their The Kitchen Circle account at any time by submitting their termination in writing to:

    If participation is terminated or cancelled, points already earned will be invalidated. Operators may re-enroll. Any forfeited points will not be reinstated at the time of re-enrollment.
  • If participants do not access their account at least once every 270 days, their account may be deactivated and any points accumulated up to that time will be forfeited without compensation. In Schwan’s Food Service, Inc.’s sole discretion, the participant may be provided an opportunity to reactivate their account within thirty (30) days of receiving an email notice from Schwan’s Food Service, Inc. regarding their account deactivation.
  • Participants expressly agree to receive periodic promotional emails from Schwan’s Food Service, Inc. regarding The Kitchen Circle program. If they wish to discontinue receiving emails regarding The Kitchen Circle program, they must contact Schwan’s Food Service, Inc. in writing to:

  • Schwan’s Food Service, Inc. reserves the right to revoke access to the website at any time based on abuse, fraud (including falsified invoices, changing case counts or invoice dates, or submitting the same invoice multiple times) or any violation of the program terms and conditions.
  • The Kitchen Circle Program Administration has the right to cancel or modify orders.
  • Participants should keep their email address and password private to prevent unauthorized redemptions.

Program Terms

  • Participation in the program does not require a minimum case order.
  • Points are non-transferable to other program participants.
  • Points do not carry a cash value and are not refundable.
  • Points may be redeemed for merchandise within The Kitchen Circle website only.
  • Points do not constitute property of a Participant and may be revoked at any time by Schwan’s Food Service, Inc.
  • Schwan’s Food Service, Inc. reserves the right to make special promotional opportunities available to members based on level of program sales.
  • Schwan’s Food Service, Inc. reserves the right to discontinue the program at any time, in which case participants will be notified via email along with a notification on the website.
  • Participants will have 60 days after notice of program discontinuation to submit invoices and redeem points for merchandise, after which all points will be void.
  • Participants will have 3 weeks after a claim is denied to resubmit their claim or the claim will be considered permanently denied.
  • Void where prohibited and subject to all laws.

Redeeming Points

  • Invoices must be submitted quarterly (within 90 days) of invoice date to receive credit/points for purchase.
    • July – September purchases must be submitted/postmarked by November 30th
    • October – December purchases must be submitted/postmarked by February 28th
    • January – March purchases must be submitted/postmarked by May 31st
    • April – June purchases must be submitted/postmarked by August 31st
  • All invoices will need to be verified by The Kitchen Circle™ Program Administration before the points will be credited to the account.
  • Earned points will be updated within approximately 4 – 6 weeks of an invoice being submitted.
  • An invoice can only be submitted once.
  • Schwan’s Food Service, Inc. reserves the right to audit redemption activity.
  • Point expiration will be based on Program Year, and will expire 12 months following the end of the program year.
  • Schwan’s Food Service, Inc. reserves the right to review the amount of points given per case and the product point values. At which time, point values may increase or decrease at their discretion.

Rewards and Shipping

  • Some items may not be available in all states. Please review your District’s code of conduct policy before redeeming any available points.
  • Schwan’s Food Service, Inc. or Program Administrators are not responsible for disputes involving participants or employees of a participant’s establishment relating to rewards.
  • The shipping and handling cost of the merchandise will be included in the point total needed to purchase the merchandise. Multiple items ordered at the same time may be shipped separately. When merchandise is purchased, the point value will be debited from the available balance.
  • The operator is not allowed to purchase merchandise if the merchandise point total is more than the total banked point amount. Participants may not supplement points used for reward redemption with cash, check or credit card payments.
  • Rewards will be shipped to street addresses only (no P.O. boxes allowed).
  • Allow 3-8 weeks for delivery of reward merchandise.
  • Some rewards may require truck shipment. Participants will be contacted to make arrangements for delivery.
  • Participants should call 866-888-1680 if a reward has not been received by the anticipated delivery date.
  • All rewards are subject to limited availability and to the terms, conditions and restrictions imposed by merchandise, service or other providers.
  • Points cannot be used in conjunction with any other promotion or offer and may not be separated. No transfers or cash or other substitutions, except when Schwan’s Food Service, Inc. may substitute a prize, in whole or in part, for one of comparable or greater value in the event an advertised prize (or any component thereof) becomes unavailable.
  • Participants agree to these Terms and Conditions; to the decisions of Schwan’s Food Service and judges, which shall be final in all respects, including (without limitation) all decisions regarding eligibility, compliance with these rules, the award of merchandise and the overall administration of the program; to release and hold Schwan’s Food Service, its parent, subsidiaries and other affiliated companies, advertising and promotion agencies and their respective directors, agents and employees harmless from all liability, loss, personal injury or death, or damage to reputation or of any kind attributable in whole or in part, directly or indirectly, to their participation in this program or their acceptance and/or use of a reward.
  • Any promotion materials including the offer or these Terms and Conditions, which contain production, printing or typographical errors, or are obtained outside authorized or legitimate channels are void; and Schwan’s Food Service liability, if any, is limited to the replacement of such materials. Recipients of such materials release Schwan’s Food Service, its parent, affiliated and subsidiary companies, the judging organization and their respective officers, directors, employees and agents from any and all losses, claims or damages that may result there from.
  • CHOICE OF LAW. Except where prohibited, participants agree that any and all disputes, claims and causes of action arising out of or connected with this program shall be governed by and construed in accordance with the laws of the State of Minnesota, without giving effect to any choice of law or conflict of law rules or provisions (whether of Minnesota or any other jurisdiction) that would cause the application of the laws of any jurisdiction other than Minnesota. The invalidity or unenforceability of any provision of these rules shall not affect the invalidity or unenforceability of any other provision so long as the general intent of these rules remains in effect. In the event that any such provision is determined to be invalid or otherwise unenforceable, these rules shall be construed in accordance with their terms as if the invalid or unenforceable provision was not contained therein.

Instructions for Receiving Shipment

UPS / FedEx / Parcel Post

  • If the shipment arrives damaged, accept shipment and notify 866-888-1680 of the nature of the damage.
  • Leave the reward in the original carton with all packing intact.

All Other Shipments

  • Please be sure the number of cartons received agrees with the freight bill. If there is a shortage, ask the driver to note “shortage” on the freight bill. Notify 866-888-1680 immediately.
  • Examine carton(s) carefully. If there are any visible signs of damage, refuse item(s) and notify 866-888-1680 immediately.
  • If damage is found after the driver leaves:
    • Please call the delivering carrier within 48 hours for an inspection. Confirm the request in writing to the delivering carrier.
    • Leave the merchandise in the original carton(s) with all packing intact.
    • Get a copy of the inspection report from the carrier and mail to:

    • Participants will be advised of the disposition of the merchandise.
